5 QuickBooks Shortcut Surprises

QuickBooks is one of the most popular accounting software applications out there, but like all software it can challenge you if you’re new to it.  In fact, even experts can be surprised by a new, or an old, shortcut they’ve just discovered.  And there are a lot of shortcuts to help you manipulate, find, or report information.  Here’s an example of five possibly surprising shortcuts you can try the next time you open QuickBooks.


Where’s my calculator?

Need to do some quick math but don’t want to hunt around for your calculator? Put your cursor on the dollar amount field you need to work on and click your computer key to add, subtract, multiply or divide (+, -, *, /). A small calculator window will appear so you can work your math magic. Just hit enter to close it.

When did I install this?

Do you need to quickly find out which version of QuickBooks you have installed, your license or product number, the date you installed it, file size or some other product information? Just hold down the Windows ‘Fn’ function key and press F2 to quickly pull up a window with all this info and more.

Why can’t I find what I want?

You know all those icons on the top of your QuickBooks screen? Do you see exactly what you need across the top, or do you have to hunt around in menus each time you go into QuickBooks? Well, hunt no longer! Go to the menu and click “View” and “Customize Icon Bar” and put exactly what you need across the

I love this report!

You need a report in QuickBooks but can’t remember which one you had last time; was it the Profit & Loss Standard or the Profit & Loss Detail? There are so many built in reports in QuickBooks that finding just the one you want can sometimes be tough.  This time when you find the perfect report, after you close it but before you leave the report center, click the little heart under the report and save it to your Favorites. Next time go to your Favorites page in the Report Center, and it will be waiting for you.

I love this report, but I need to tweak it!

Need something different in a favorite report each time you run it; maybe you want to change the columns this time, sort in ascending order instead of descending order, or apply a filter? Turn on a prompt to modify your reports before they run by clicking on Edit from the main menu, Preferences, and Reports & Graphs, then check the box for “Prompt me to modify reports options before opening.”
