Customizing Invoices in QuickBooks Online

A couple of weeks ago we looked at adding a logo to an invoice in QuickBooks Online. There is more customizing that can be done and it is a question that comes up often. Businesses don’t want their invoices to look just like everyone else’s.

The Sales section of Settings contains a number of categories that can be customized on sales forms.

You can see some of those options in the above screenshot. Things like Shipping fields, Discount, Service Date, and more can be chosen here.

Most of the customizing work though, can be accessed by clicking on the Customize look and feel button.

If you have no Custom Form Styles, and many of you won’t, click on New to start a new style.

The arrows point at two important options to review. On the left are several formats to start with. Choose from Airy, Modern, Fresh, Friendly, or Bold.

On the right, choose one of eighteen different color schemes. These two options alone can help your company stand out more than just using generic forms.

Note that in the Appearance section, you can determine the size (small, medium, or large) of your logo if you have one. Where should it be placed across the top of the form?

What size font and what type-face do you want to use?

You can set margins, some print parameters, and whether or not you want an account summary from here.

The Header category contains many options you can select or deselect. What do you want to call your forms? Estimates or Quotes?

You can determine what company information you want to appear on the invoice. The selections made above will show company name, address, and email, but not web site or phone number.

Customer information to be included can be selected in this section.

Extending just out of reach of the above graphic is a section for custom fields. You have the option of adding one to three custom fields to your invoices.

The Activity Table category is basically the lines of the invoice, the products and services that you sell.

You can see the options in the screenshot. Which columns you want, how wide do you want them, in what order?

Some other options are included here as well. Some people will want billable time to show by the hour, the rate, who performed the service. Those options are available in this section.

It’s even possible to add a message to your customer in the footer portion of the invoice.

All your sales forms can have a consistent and common appearance to them. The options available all have a professional look and will help you present the image you want for your company.
